How do I schedule a game?

Step-by-step guide to creating a one-time or recurring game from your instructor portal.

Games are your regular mahjong sessions β€” open play, drop-in tables, or a recurring weekly game night. You can schedule a single one-time game or a recurring series that repeats automatically.


Before you start

Make sure the Games offering is enabled in Settings > Offerings. If it's your first time setting up games, it's also worth visiting Settings > Offerings > Games to configure your default duration, max capacity, scheduling hours, and timezone β€” these will pre-fill when you create new games.


Schedule a game

  1. Go to Your Offers in the left navigation.
  1. Tap or click Schedule New and select Game.
  1. Fill in the game details:

Basic details

  • Title β€” Name of the game (e.g., "Tuesday Night Mahjong").
  • Description β€” Optional. Describe the session for players.
  • Recurring β€” Toggle on to create a repeating series. Leave off for a single game.
  • Send email invite to all players β€” Toggle on to notify your entire player list when the game is saved.

For a one-time game

  • Date β€” The date of the game.
  • Start Time β€” When the game begins.
  • Duration β€” How long the game lasts (1 hr, 1.5 hr, 2 hr, 2.5 hr, 3 hr, or 4 hr).
  • Max Players β€” The capacity for this game.
  • Registration Deadline β€” Optional date and time after which new registrations are closed.

For a recurring series

  • Recurrence β€” Choose the repeat pattern (weekly, bi-weekly, etc.) and which days.
  • Start Date β€” When the series begins.
  • Start Time and Duration β€” Apply to every occurrence.
  • Max Players β€” Capacity for each occurrence.
  • Booking Horizon β€” How many days in advance players can see and register for upcoming occurrences.
  • Series End Date β€” When the series stops generating new occurrences.

Additional options (all games)

  • Host β€” Select from your saved hosts or type a name.
  • Location β€” Select from your saved locations.
  • Price β€” Set a price if game pricing is enabled in settings. You can use a single price or split member/non-member pricing.
  • Additional Notes β€” Notes shown to players on the registration page.
  • Game Image β€” Optional cover image (JPEG, PNG, WebP, or GIF, max 5 MB).
  • Access Level β€” Override the default access level for this specific game (only shown if Members is enabled).
  • Published β€” Check to make the game visible on your member portal. Uncheck to keep it hidden (draft).
  1. Tap or click Schedule (or Create Series for recurring games).

Your game defaults (duration, max players, etc.) are pre-filled based on your settings. Configure these once in Settings > Offerings > Games > Default game settings to save time.


What happens next

Once saved, the game appears in your Your Offers list. If you enabled the email invite, your players will receive a notification. Players can then register via your member portal or the direct registration link.
