Your Game Day Checklist

Step-by-step guide from confirming registrations to assigning seats

Game day can get busy. This checklist walks you through everything you need to do β€” from the day before your game to wrapping up afterward β€” so nothing falls through the cracks.

The Day Before

  1. Check registrations β€” Go to your Games page and click the upcoming game. Review who has registered and how many spots are still open.
  1. Send a reminder β€” Head to Messages and send a quick SMS to registered players reminding them about tomorrow's game. You can use a saved template to make this even faster.
  1. Assign seats β€” If you haven't already, go to the game detail and assign players to tables. Check for any seat buddy requests and try to honor them.
  1. Confirm the venue β€” Double-check the game location and time are correct on the game details.

Tip: Most instructors assign seats the day before the game, once registrations have mostly settled. This avoids having to rearrange seats if someone registers or cancels last minute.

Game Day Morning

  1. Check for last-minute changes β€” Open the game detail to see if anyone registered or cancelled overnight
  1. Adjust seats if needed β€” If the player count changed, update your seat assignments
  1. Review any seat requests β€” Check if any new buddy requests came in that you should accommodate

During the Game

  1. Mark attendance β€” Note which registered players actually showed up
  1. Handle walk-ins β€” If unregistered players arrive, you can add them as registrants from the game detail page

After the Game

  1. Update player notes β€” If you noticed anything worth tracking (skill observations, player preferences), add notes to individual player profiles
  1. Check your dashboard β€” Your attendance and seat utilization metrics will update to reflect the completed game
  1. Plan ahead β€” Glance at your Schedule to see what's coming up next and start thinking about the next game

Pro tip: The more consistently you follow this routine, the smoother your games will run. After a few weeks, it becomes second nature.
