Managing Registrations Before a Game

Reviewing sign-ups, handling waitlists, and last-minute changes

Keeping an eye on your game registrations ensures a smooth experience for you and your players. Here's how to stay on top of who's coming.

Checking Registrations

There are several ways to see who's registered for an upcoming game:

  • From the Games page — Each game card shows the registration count (e.g., "8 / 16 players") and a visual progress indicator
  • From the Dashboard — Your upcoming games section shows registration numbers with capacity indicators
  • From the game detail — Click any game to see the full list of registered players

The Game Detail View

When you open a game, you'll see:

  • The complete list of registered players with their names and status
  • The total registered count vs. maximum capacity
  • How many spots are remaining
  • Any seat assignments that have been made

Handling a Full Game

When a game reaches its max player count:

  • The game will show as full on both the instructor portal and the member app
  • New players won't be able to register through the member app
  • You can still manually add players from the instructor portal if you want to go over capacity

Important: If you increase the max players on a full game, the game will re-open for registrations on the member app. Make sure you actually have room before adjusting the limit.

Last-Minute Cancellations

If a player cancels close to game time:

  1. The spot opens back up automatically for other players
  1. If you've already assigned seats, you may need to update the seating arrangement
  1. Consider sending a quick SMS to your player list letting them know a spot opened up

Adding Players Manually

Sometimes players will reach out directly to register rather than using the member app. You can add them manually:

  1. Open the game from the Games page
  1. Add the player to the registration list
  1. Their registration will appear alongside those who signed up through the app

Sending Reminders

A day or two before the game, it's a good idea to send a reminder:

  1. Go to the Messages page
  1. Select your registered players as recipients
  1. Send a reminder with the game date, time, and location
  1. You can save this as a template for future use

Tip: Check your registrations regularly in the days leading up to a game. This helps you catch low-attendance games early so you can promote them or adjust your plans.
