When you create a recurring event, all sessions are grouped under an Event Series. The series detail page lets you manage the whole series and its individual occurrences.
Opening the series detail page
- Go to the Schedule page.
- Find the event series and tap or click on it.
The page shows:
- The series name, recurrence description, schedule, capacity, location, host, and published status.
- A table of all occurrences showing date, time, current registrations vs. capacity, and status.
Series-level actions
- Edit — Open the series editor to change the series name and description (both owned by the series) along with the default schedule, capacity, host, location, price, and other settings. The name and description update on every occurrence. For the other settings, keep Apply changes to existing non-modified occurrences checked to push them to occurrences you haven't individually customized — occurrences you've already overridden keep their custom values. Uncheck it to apply the new defaults only to newly generated occurrences.
- Pause — Temporarily hide the series from players. Existing registrations are preserved.
- Resume — Re-activate a paused series.
- End Series — Stop generating new occurrences after a chosen date.
- Delete — Permanently delete the series and all occurrences.
Occurrence statuses
| Status | Meaning |
|---|---|
| Scheduled | Not yet open for registration |
| Open | Accepting registrations |
| In Progress | Currently happening |
| Completed | Finished |
| Cancelled | This occurrence was cancelled |
Managing individual occurrences
From the occurrences table you can:
- View — See registrations and details for that specific occurrence.
- Cancel occurrence — Cancel just this one event. Choose the scope (this only, this and future, or all) and optionally refund paid registrants.
Overriding a single occurrence. Open an occurrence and tap Edit Event to customize just that date without affecting the rest of the series. You can override its date & time, capacity, price (including member/non-member pricing and tax), location, host, registration deadline, image, access level, and published/visibility.
The one thing you can't change on a single occurrence is the name and description. These are owned by the series, so in the occurrence editor they appear read-only under a From series badge with an Edit series → link (helper text: "Name and description are set on the series. Editing the series updates every occurrence."). To rename the event or edit its description, edit the series instead — that updates every occurrence.
Published vs. unpublished
Each series has a Published badge. Unpublished events are not visible to players on your Portal. Toggle the published state from the Edit dialog to make the series visible or hidden.
